What changed in this version
Payment is now taken at the point of booking through the Platform (via our payment provider, Stripe), rather than paid to the Clinic separately. Clause 5 (Prices and payment) has been rewritten and a refund/cancellation framework added. The appointment itself remains a contract between you and the Clinic.
1. Who we are and what these Terms cover
EveryClinic is a technology platform that helps you search for, compare, book and pay for appointments with independent, private clinics and practitioners (“Clinics”). These Terms and Conditions (“Terms”) govern your use of the EveryClinic website and application (the “Platform”), operated by EveryClinic Ltd, a company registered in England and Wales (company number 17261715).
By browsing, creating an account on, or booking an appointment through the Platform, you (“you”, “Patient”, “user”) agree to be bound by these Terms. If you do not agree, please do not use the Platform.
You must be 18 or over to create an account. If you are booking on behalf of a child or another adult (for example, a dependant), you confirm you are authorised to do so and that these Terms apply to that booking.
2. What EveryClinic is — and what it isn’t
EveryClinic is an introducer and booking platform that connects you with independent Clinics and facilitates payment for your appointment through an FCA-authorised third-party payment provider (Stripe). EveryClinic is not itself a payment institution and does not hold your money — the payment provider does (see clause 5).
EveryClinic is not a healthcare provider. We do not employ Clinics or their staff, do not practise medicine, and do not provide medical advice, diagnosis or treatment. Any clinical assessment, advice or treatment is provided solely by the Clinic you book with, under its own professional and regulatory responsibility.
Each Clinic is responsible for the accuracy of its own listing, pricing, availability, qualifications and regulatory registration (for example, with the Care Quality Commission in England, Healthcare Inspectorate Wales, Healthcare Improvement Scotland, or the Regulation and Quality Improvement Authority in Northern Ireland, where applicable). We carry out reasonable onboarding checks on Clinics, but this does not amount to a guarantee or endorsement of clinical quality, and we are not liable for the acts or omissions of any Clinic.
Medical emergencies
If you have a medical emergency, do not use the Platform — call 999 or go to your nearest A&E. If you need urgent but non-emergency advice, contact NHS 111 or your GP.
3. Your account
To book through the Platform you may need to create an account, providing accurate and up-to-date information. You are responsible for keeping your login details confidential and for all activity under your account.
You must tell us promptly if you suspect any unauthorised use of your account. We may suspend or close an account where we reasonably believe it is being used fraudulently, abusively, or in breach of these Terms.
4. Searching, comparing and booking
The Platform lets you search Clinics by location, specialty, price and availability, and to book an appointment directly with your chosen Clinic through the Platform.
A Booking is confirmed once your payment has been authorised and taken through the Platform in accordance with the Clinic’s availability, and you receive a confirmation (by email, app notification or equivalent). The Booking is a contract for the appointment directly between you and the Clinic; EveryClinic is not a party to that clinical contract, but does facilitate the booking and the payment.
Prices, availability and practitioner details are set and maintained by each Clinic. We take reasonable steps to keep listings current but cannot guarantee every detail is accurate at the moment you book — always check with the Clinic if anything is time-critical.
5. Prices and payment
The price shown is the Clinic’s own price. EveryClinic does not add any booking, service or convenience fee — you pay only the Clinic’s list price for booking through the Platform.
Payment is taken at the point of booking. When you book, you pay the Clinic’s price through the Platform’s secure checkout, which is operated by our payment provider, Stripe. Your payment is collected and processed by Stripe as an FCA-authorised payment provider; EveryClinic does not store your card details.
Your payment is for the appointment with the Clinic. EveryClinic facilitates the payment and separately receives a commission from the Clinic; you are never charged more than the Clinic’s displayed price.
Refunds and cancellations. Whether you are entitled to a refund, and any cancellation or rescheduling charge, is set by the Clinic’s own cancellation and refund policy, which is shown to you at the point of booking. Where a refund is due under that policy and your payment has not yet been passed to the Clinic (payments are held by our payment provider and passed to the Clinic 14 days after your appointment is completed), it is processed back through the Platform to your original payment method; after that point, any refund due is issued to you by the Clinic directly. EveryClinic facilitates the mechanics of a refund but does not decide the underlying entitlement, which is a matter between you and the Clinic.
No-shows and late cancellation. If you do not attend, or cancel late, the Clinic’s policy (shown at booking) determines any charge, which may be retained from your payment.
Your statutory rights as a consumer are not affected by these Terms. Where you have a legal right to cancel a distance contract, that right applies as against the Clinic providing the service.
6. Reviews and content you submit
Reviews must relate to a genuine appointment you booked and attended, verified against our Booking records, and must be honest, accurate and not defamatory, abusive or misleading.
By submitting a review or other content, you grant EveryClinic a non-exclusive, royalty-free, worldwide licence to display, reproduce and adapt it on the Platform and in related marketing, for as long as reasonably necessary.
We manage reviews under our Reviews Policy. We may remove or decline to publish content that breaches these Terms, is unlawful, or that we reasonably believe is fraudulent or not based on a genuine appointment; and we do not present reviews in a misleading way.
Reviews and ratings reflect the views of the individual patients who wrote them, not the views of EveryClinic. EveryClinic hosts review content and, subject to its moderation obligations and any duties that cannot be excluded by law, accepts no liability for the opinions expressed in reviews.
7. Acceptable use
You agree not to: (a) use the Platform for any unlawful purpose; (b) submit false, misleading or fraudulent information, including fake bookings or reviews; (c) attempt to circumvent the Platform to avoid fees properly owed by a Clinic; (d) scrape, crawl, harvest, copy, extract or index any content or data from the Platform (including Clinic listings, prices, availability, ratings and reviews), whether manually or using any robot, spider, crawler, scraper, AI agent or data-mining tool, or reverse-engineer the Platform; (e) reproduce, republish, sell or make available Platform content or data to any third party, or use it to build, train or improve any competing product, service, dataset or model; or (f) interfere with its security or operation, including by circumventing any technical access controls or rate limits.
We may suspend or terminate your account, and refuse future bookings, if we reasonably believe you have breached this clause.
8. Intellectual property
The Platform, including its design, software, trademarks and EveryClinic-authored content, is owned by or licensed to EveryClinic. You may use it only for your personal, non-commercial use of the booking functionality.
Clinic content (descriptions, images, practitioner details) belongs to the relevant Clinic or its licensors.
Database rights. The compilation of Clinic listings, prices, availability, ratings and reviews on the Platform is a database in which EveryClinic owns database rights and, where applicable, copyright. You must not extract, re-utilise, reproduce or make available all or any substantial part of that database — or repeatedly and systematically extract insubstantial parts of it — whether manually or by automated means, without our prior written consent.
Trade marks and enforcement. “EveryClinic” and the EveryClinic logo are trade marks of EveryClinic Ltd. Nothing in these Terms grants you any right to use them, and all rights not expressly granted are reserved. We may suspend or terminate access to the Platform and take legal action — including for infringement of intellectual property or database rights, breach of these Terms, and misuse of computer systems — against any person or organisation that breaches clause 7 or this clause 8.
9. Disclaimers and limitation of liability
The Platform is provided “as is”. We take reasonable care to keep it accurate and available, but do not guarantee it will be uninterrupted or error-free, or that any Clinic will be available at a given time.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any liability that cannot lawfully be excluded.
Subject to clause 9.2, EveryClinic is not liable for: (a) the clinical care, advice, treatment or outcomes provided by any Clinic; (b) loss arising from inaccurate information provided by a Clinic; or (c) indirect or consequential loss. Our total liability to you for losses arising from the Platform itself (including its booking and payment-facilitation functions) is limited to £[cap].
Any complaint about clinical care should be raised directly with the Clinic, which will have its own complaints procedure. We can help point you to the right contact.
10. Suspension and termination
You may stop using the Platform and close your account at any time by contacting us.
We may suspend or close your account, or restrict access, where we reasonably believe you have breached these Terms, engaged in fraud, or where required by law.
11. Changes to these Terms
We may update these Terms from time to time, for example to reflect changes in law or how the Platform works. We will post the updated Terms with a new “last updated” date, and take reasonable steps to notify you of material changes (e.g. by email or in-app notice).
Continuing to use the Platform after changes take effect means you accept the updated Terms.
12. Complaints
If you have a complaint about the Platform itself (as opposed to clinical care) — including about a booking or the payment mechanics — please contact us at complaints@everyclinic.com. If your complaint is about how we handle your personal data, you may also use the route set out in our Privacy Policy.
If your complaint concerns clinical care, please raise it directly with the Clinic first. If you remain unhappy with the Clinic’s response, you may in some cases be able to escalate to the relevant professional regulator (for example, the GMC, GDC, NMC, HCPC or CQC / HIW / HIS / RQIA).
13. General
If any part of these Terms is found unenforceable, the rest will continue to apply.
These Terms, and any dispute arising from them or your use of the Platform, are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction, save that if you live in Scotland or Northern Ireland you may also bring proceedings in your home courts.
These Terms do not affect your statutory rights as a consumer.
